01Who we are
VCM The Skin Center (“VCM”, “we”, “us”) is a dermatology and aesthetics clinic in Cabanatuan City, Nueva Ecija. We are the personal information controller for the information you give us through this website, our clinics and our online store.
We handle personal information in line with Republic Act No. 10173, the Data Privacy Act of 2012, its Implementing Rules and Regulations, and the issuances of the National Privacy Commission (NPC).
02What we collect
We only collect what we need for the service you ask for.
- Consultation requests
- Your name, mobile number, email (optional), preferred branch and date, your main skin concern and any message you write.
- Orders
- Your name, email and mobile number, your delivery address or pickup branch, the products you order, and the payment method and status.
- Mailing list
- Your email address.
- Clinic visits
- Information you share with our team at the clinic, including your skin history and treatment records, which are kept as part of your patient record.
Your skin concern and treatment information are health information, which the law treats as sensitive personal information. We only process it with your consent and to care for you.
We do not receive or store your card number, GCash or Maya credentials. Payments are completed on our payment partner’s secure page, and we only receive a confirmation that the payment went through.
03How we use it
- To confirm and schedule your consultation, and to contact you about it by phone, SMS or email.
- To process, deliver or prepare your order for pickup, and to send you updates on its status.
- To handle payments, refunds, returns and questions about your order.
- To send you skin care guidance, clinic news and product updates, only if you joined our mailing list.
- To keep records the law requires, such as sales and tax records.
- To keep the website and our systems secure and working properly.
04Why we are allowed to
We process your information because:
- you consented when you sent a form, placed an order or joined the mailing list;
- it is needed to fulfil the order or service you requested;
- the law requires it, for example for receipts and tax records; or
- it is needed for our legitimate interest in running a safe, secure clinic and store, where this does not override your rights.
You may withdraw your consent at any time. This will not affect anything we did before you withdrew it.
07How we protect it
- All connections to this website are encrypted (HTTPS).
- Only authorised VCM staff can see orders and requests, using a personal sign-in. Sign-in pauses after repeated wrong attempts.
- Each order page is protected by a private link that only you receive, so an order number alone does not reveal your details.
- We limit access to what each staff member needs for their role.
08How long we keep it
We keep personal information only as long as we need it for the purpose you gave it for, or as long as the law requires.
- Consultation requests are kept while we are arranging your visit and for a reasonable period after, in case you follow up.
- Order and payment records are kept for the period required by tax and accounting rules.
- Your email stays on the mailing list until you unsubscribe or ask us to remove it.
- Patient records are kept for the period required for medical records.
When information is no longer needed, we delete it or make it anonymous.
09Your rights
Under the Data Privacy Act, you have the right to:
- Be informed about how your information is used.
- Access the information we hold about you.
- Correct information that is wrong or out of date.
- Object to processing, including marketing, and withdraw consent.
- Erase or block information that is no longer needed or was processed unlawfully.
- Data portability, to get a copy in a commonly used format.
- Claim damages if you were harmed by unlawful processing.
- File a complaint with the National Privacy Commission at privacy.gov.ph.
To use any of these rights, email us with the subject “Privacy request”. We may ask you to confirm your identity before we act, and we will reply as soon as we can.
10Minors
Online orders and consultation requests should be made by someone 18 or older. If you are under 18, please ask a parent or guardian to book or order for you. Treatments for minors require a parent or guardian’s consent at the clinic.
11If something goes wrong
If a personal data breach puts your rights at real risk, we will notify you and the National Privacy Commission within the period the law requires, and tell you what we are doing about it.
12Changes to this policy
We may update this policy when our services or the law change. The date at the top shows the latest version. If a change significantly affects how we use your information, we will tell you on this website or by email before it takes effect.
